Effective WhatsApp follow-up for clinic leads answers the enquiry, offers a clear booking step and assigns one person to the conversation. Set a response target your team can meet, record bookings and attendance, and use the messaging permissions and templates appropriate to your WhatsApp setup.
A notification is not a meaningful response
A lead form reaches reception, an automated message says “Thank you,” and the customer hears nothing useful for several hours. The system replied, but the enquiry was not handled. Measure the time to a relevant human answer or a genuinely useful booking action.
A five-minute response target can be an operational goal during staffed hours. It is not a universal law or a guaranteed conversion claim. Choose a realistic service standard, publish support hours and arrange a handover for enquiries arriving outside them.
Set permission and channel expectations first
The WhatsApp Business Messaging Policy requires permission to contact recipients and respect for opt-outs. For the Business Platform, business-initiated messages use approved templates; free-form replies are limited to the customer-service window after a user message.
A submitted form is not itself a WhatsApp message opening that window. Confirm your exact setup and wording with the person implementing it. Keep clinical information in the clinic’s appropriate systems and use follow-up here to coordinate an enquiry or appointment.
Assign one owner per conversation
Route the enquiry by branch and language where that helps the customer. Name an owner and a backup. Two staff members sending conflicting prices or appointment times make the clinic look disorganised and create errors in the booking record.
Give staff the current offer sheet, opening hours and escalation route. Medical suitability, risks and clinical recommendations should go to qualified staff through the clinic’s assessment process.
A first response that moves the conversation forward
Use the following as illustrative copy to adapt, review and, where required, submit as a template. Do not send it to a person who has not given the appropriate permission.
Hello [first name], this is [staff name] from [clinic and branch]. You asked us to contact you about an appointment. I can help with the booking details. Would you prefer [time A] or [time B]?
If the customer asked about a price, answer that question before requesting a booking. Use verified inclusions and say clearly if a practitioner consultation is needed to determine the appropriate service.
The advertised appointment is [price] and includes [verified inclusions]. It is available at [branch], subject to [important terms]. Would you like me to check the next appointment times?
A confirmation message should remove uncertainty
After booking, confirm the branch, date, time and contact route. Use the clinic’s reviewed preparation and rescheduling instructions. Do not improvise medical advice in a marketing script.
Your appointment is booked for [date] at [time] at [branch]. Here are the location details: [approved link]. If you need to change the time, please reply or call [clinic number].
Use a consistent booking reference inside the clinic’s system. Do not place personal or clinical information in campaign URLs just to make tracking easier.
When someone does not reply
A respectful reminder may be appropriate within the permissions and platform rules that apply. Keep it useful and give the person a way to stop. Repeated calls and messages are not a substitute for a clear first response.
Hello [first name], I’m following up on your appointment enquiry with [clinic]. If you would still like booking help, please reply when convenient. If you no longer need assistance, let us know and we will close the enquiry.
Set a documented follow-up cadence based on the clinic’s service, consent and observed behaviour. Stop when someone opts out, the enquiry is resolved or the permitted process ends.
Use a small set of enquiry stages
| Stage | Meaning |
|---|---|
| New | Received and assigned, awaiting a meaningful response |
| Contacted | A suitable response was sent or a call connected |
| Booking discussed | The customer is choosing a suitable appointment |
| Booked | A date and time are confirmed in the clinic system |
| Attended | The clinic records attendance |
| Closed | No further follow-up is appropriate, with a simple reason |
Do not put detailed diagnoses or patient notes into an agency’s general marketing spreadsheet. Record only the information necessary and appropriately permitted for the reporting task.
Review response quality with the campaign
Track meaningful response time, contacted rate, booking rate and attendance. Read campaign-level patterns alongside availability and offer misunderstandings. A lead may be suitable but arrive when no appointments are available.
Our guide to unanswered clinic leads covers related causes. AdGrow’s clinic marketing approach connects campaigns with the booking handover so both teams can assess the outcome.
Frequently asked questions
Must a clinic reply to every enquiry within five minutes?
Five minutes can be an internal staffed-hours target, not a guaranteed rule. Set a standard the team can meet and measure meaningful replies separately from automatic acknowledgements.
Can a Meta form lead receive any WhatsApp message?
No. Confirm the necessary permission and the requirements of your WhatsApp product. A form submission does not itself open a Business Platform customer-service window.
What should reception record?
The owner, response stage, booking and attendance outcome, with appropriate data permissions. Keep clinical records in the clinic’s proper system.
